We’re looking for a motivated consultant to join our client’s project management office and support a dynamic team involved in large-scale digital transformation initiatives. In this role, you will work in a fast-paced environment alongside project managers and stakeholders, helping ensure that projects run smoothly from an administrative, financial and operational perspective. This position offers an excellent opportunity to learn, grow and gain exposure to a variety of projects while supporting the overall project delivery framework.

Role & Responsibilities
As a PMO Support Officer, you will assist the project management office in coordinating project administration, financial tracking, and resource planning. You will work closely with project managers and internal stakeholders to ensure accurate reporting, governance, and project support activities. Your key responsibilities include:

  • Managing project management tooling and ensuring accurate data maintenance.

  • Coordinating time tracking activities and supporting monthly reporting and invoicing processes.

  • Providing administrative support for project meetings, including scheduling, taking minutes, tracking actions and following up on deliverables.

  • Supporting internal and external audit activities when required.

  • Assisting project managers during project start-up phases and ongoing project administration.

  • Acting as a point of contact for project managers needing operational or administrative support.

Resource & Financial Coordination
You will also contribute to the monitoring of project resources and financial management activities to support project delivery:

  • Providing system access and onboarding support for new team members, particularly external resources.

  • Monitoring resource capacity across current and upcoming projects and supporting supply-demand planning.

  • Preparing financial reports for the finance department and supporting project-level financial tracking.

  • Monitoring, reviewing and coordinating purchase orders and invoice management activities.

Communication, Governance & Reporting
A key part of the role is ensuring smooth communication and adherence to governance processes across the project portfolio:

  • Preparing and coordinating portfolio-level communications and reports.

  • Collaborating with internal stakeholders and project contacts to ensure alignment.

  • Supporting the PMO Manager in defining and maintaining project management standards, governance processes and best practices.

  • Ensuring projects follow established portfolio governance and reporting structures.

  • Supporting improvements to PMO processes in line with organisational strategy and evolving project needs.

Profile – The Ideal Candidate
Our client is seeking a proactive and detail-oriented professional who enjoys working in a collaborative project environment. The ideal candidate will bring:

  • Entry-level experience up to approximately 2 years in a PMO, project coordination, or administrative project support role.

  • Strong communication skills with the ability to interact effectively with both internal and external stakeholders.

  • Solid knowledge of Microsoft Office tools including Excel, PowerPoint, Word, Outlook and Power BI.

  • Basic experience creating and maintaining project plans.

  • Familiarity with document management tools and the ability to provide basic user-level support.

  • Strong organisational skills, attention to detail, and the ability to multitask in a busy professional environment.

  • A proactive, self-motivated and team-oriented mindset with strong problem-solving abilities.

  • The ability to work independently when needed while remaining highly collaborative.
