Function

We’re looking for an Audit Coordinator Procurement & Contract Management Processes to join our client’s compliance and quality function. In this role, you will act as the single point of contact for all internal and external audits related to procurement and contract management within the IT organization. You will support audit preparation, coordinate evidence collection, and ensure accurate follow-up of recommendations. This function aligns with the responsibilities of a Quality Methodology Lead and plays a key part in maintaining compliance with public procurement regulations and internal policies.

Role & Responsibilities

Audit Coordination

  • Serve as the primary contact for internal and external audits, including communication with audit teams and internal stakeholders.

  • Participate from the start in audit preparation and execution, ensuring planning is respected and documentation is collected, assessed, and archived coherently.

  • Facilitate discussions between auditors and departmental leads regarding findings and recommendations.

Follow-up & Reporting

  • Manage and track all audit recommendations, ensuring ownership, deadlines, and progress monitoring.

  • Organize follow-up actions and corrective measures, ensuring clear visibility and accessible audit documentation.

  • Produce periodic reporting on open audit recommendations and status updates.

Procurement & Contract Management Support

  • Provide advice on procurement processes and contract management activities (market analysis, contract review, offer evaluation, negotiation) in collaboration with internal procurement teams.

  • Assist in safeguarding compliance with public procurement regulations.

  • Collaborate closely with procurement and legal departments.

Knowledge & Process Management

  • Maintain and update process documentation; provide internal training related to your area of expertise.

  • Monitor legislative, procedural, and sector-related evolutions and ensure this knowledge is kept current.

  • Act as a point of contact for continuous improvement processes:

    • Support employees and suppliers with process-related questions.

    • Request and coordinate process adjustments, ensuring correct execution.

    • Advise stakeholders on defining standards for various processes across departments.

Required Experience & Competencies

  • Demonstrated experience as the central coordinator for at least one audit conducted by a national financial inspection or public audit authority.

  • Proven experience in defining and implementing contract management processes in an IT environment.

  • Proven experience in establishing and managing supplier management processes within IT.

  • Strong stakeholder management skills at all organizational levels, supported by at least three relevant references.

  • Knowledge of methodologies such as ITIL and Kraljic (proven through CV or certification).

Conformity Criteria

  • Fluent communication in Dutch, French, and English.

  • Master’s degree, preferably in business economics, engineering, or IT.

  • Minimum 10 years of experience as an IT buyer or IT procurement manager (software or services).

  • Minimum 10 years of experience with public procurement regulations.

  • Minimum 2 years of experience within the rail sector or a comparable regulated infrastructure environment.
