CISO Project and Operational Support
Function
We’re looking for a freelance Project & Operational Support Consultant to assist our client’s Chief Information Security Officer (CISO). In this role, you will help ensure the smooth operation of the CISO office by managing documentation, supporting project workflows, coordinating meetings, and maintaining structured communication with internal and external stakeholders. You will work with a high degree of independence and confidentiality, helping to enhance the efficiency of the information security function.
Role & Responsibilities

Organize and maintain digital and physical documentation and filing systems.

Prepare, draft, format, and distribute meeting minutes, ensuring timely follow-up of actions and decisions.

Manage correspondence with internal and external stakeholders, including drafting, reviewing, and proofreading documents.

Track, monitor, and follow up on tasks and action items resulting from meetings and communication flows.

Support daily operational and project-related activities for the CISO and the information security team.

Coordinate meetings, prepare agendas, handle scheduling, and ensure smooth logistics.

Liaise with various departments and external partners as required to guarantee seamless collaboration.
Mandatory Profile Requirements

At least 10 years of experience as an executive or personal assistant in complex corporate or international environments.

Minimum 1.5 years of experience in the rail or regulated-infrastructure sector, familiar with industry stakeholders, legislation, key organizations, and regulatory bodies.

Trilingual:
-
Native-level Dutch or French
-
Professional proficiency in English and the third language

Ability to draft, translate, and proofread in all three languages

Availability from early January for a part-time freelance assignment (with fixed days or mornings).

Bachelor’s degree in Office Management, Modern Languages, or equivalent experience.
Evaluation Criteria
Experience demonstrated through previous roles:

Document management, archiving, and maintaining structured classification systems.

Minute-taking, drafting documentation, and monitoring action points.

Handling correspondence and communication with varied internal and external stakeholders.

Supporting C-level executives (e.g., CEO, CFO, CISO).
-
Coordinating meetings, events, and cross-department interactions.
Technical Skills:

Strong proficiency in MS Office (Word, Excel, PowerPoint, Outlook), including:

Document formatting, section management, table management in Word

Basic formulas, graph creation, and structured spreadsheet manipulation in Excel

SmartArt, branding templates, and layout consistency in PowerPoint

Color coding and structured communication management in Outlook

Personal Competencies:

Highly organized, accurate, and able to manage multiple priorities simultaneously.

Strong communication and interpersonal skills, able to engage with all levels of the organization and external partners (demonstrated in at least three previous assignments).

Discreet, proactive, and reliable, with strong ownership of tasks and responsibilities.
